Overview
We are seeking a detail-oriented and proactive Office Assistant to join our team. This role is essential in ensuring the smooth operation of our office, providing administrative support, and enhancing customer service. The ideal candidate will possess strong organizational skills, be proficient in various office software, and have a friendly demeanor to assist both clients and colleagues effectively.
Duties
Manage front desk operations, including greeting visitors and handling inquiries.
Operate multi-line phone systems to direct calls and provide customer support.
Perform data entry tasks with accuracy and attention to detail.
Maintain filing systems and ensure all documents are organized and easily accessible.
Assist with calendar management, scheduling appointments, and coordinating meetings.
Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
Provide clerical support such as proofreading documents and managing correspondence.
Handle bookkeeping tasks using QuickBooks or similar software as needed.
Support office management by ordering supplies and maintaining inventory levels.
Exhibit excellent phone etiquette while communicating with clients and vendors.
Assist with administrative tasks related to medical or dental reception as required.
Experience
Previous office experience is preferred, with a focus on administrative roles.
Familiarity with QuickBooks, Microsoft Office Suite, Google Workspace, and multi-line phone systems is highly desirable.
Bilingual candidates are encouraged to apply for enhanced communication capabilities.
Experience in customer service or support roles will be beneficial for interacting with clients effectively.
Strong typing skills along with organizational abilities are essential for managing multiple tasks efficiently.
